1. Introduction

The Liquid Network (the “Network,” “we,” “us,” or “our”) is a self-serve liquid de-icer network operated by Eco Solutions Inc. (“Eco Solutions”). We respect your privacy and are committed to protecting the personal information we collect through our website at theliquidnetwork.ca, our contractor portal, and our filling stations (together, the “Services”).

This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the choices available to you. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.

2. Who We Are and How to Contact Us

Eco Solutions is the organization responsible for the personal information collected through the Services. Questions, requests, or complaints about privacy can be directed to our Privacy Officer:

3. Information We Collect

3.1 Information you provide to us

  • Account and registration details — when you join the Network or create a portal account, such as your name, business or department name, job title, email address, phone number, and login credentials. Your credentials are held by our identity provider rather than on our own systems.
  • Business profile information — the details you give us when you set up your account, such as your location, business type and role, the size of the areas you treat, the equipment and de-icing methods you currently use, your typical seasonal salt usage, and the goals and challenges you tell us about.
  • Operational details — information you add to your account to use the Network, such as vehicles associated with your account and the drivers authorized to fill at our stations.
  • Transaction and usage records — the volume of liquid de-icer (litres) dispensed, credits and quotas applied to your account, filling-station locations used, and dates and times of activity.
  • Payment information — we do not currently collect payment or billing details through the Services. When we introduce card payments, they will be handled by our third-party payment processor (see Section 6) and full card numbers will not be stored on our own systems.
  • Communications — messages you send us, including support and contact-form enquiries, and your newsletter subscription if you opt in.

3.2 Information we collect automatically

  • Device and usage data — such as IP address, browser type, pages viewed, and interactions with the portal. See our separate Cookie Policy for details.
  • Links you follow to suppliers — when you click through to an equipment or supplier website from the portal, we record which link you followed and when, associated with your account.
  • Filling-station data — authentication and dispensing activity recorded by station hardware when an authorized driver or vehicle fills at a station.

4. How We Use Your Information

We use personal information to:

  • Create and administer your account and verify authorized vehicles and drivers;
  • Provide access to filling stations and record the litres dispensed against your credits and quotas;
  • Process payments, manage billing, and reconcile account balances;
  • Provide customer support and respond to your enquiries;
  • Operate, maintain, secure, and improve the Services;
  • Send you service-related communications, and — where you have consented — marketing and newsletter communications about liquid de-icing. You can withdraw consent to marketing at any time (see Section 8);
  • Comply with legal obligations and enforce our Terms of Service.

5. Legal Basis and Consent

Under PIPEDA we collect, use, and disclose personal information with your knowledge and consent, except where the law permits or requires otherwise. By creating an account and using the Services, you consent to the handling of your personal information as described in this Policy. Where we rely on consent, you may withdraw it subject to legal or contractual restrictions and reasonable notice — though doing so may limit or prevent your use of the Services.

6. How We Share Your Information

We do not sell your personal information. We share it only as needed to run the Services, including with:

  • Service providers and processors who act on our behalf, such as our cloud infrastructure and hosting providers (Amazon Web Services and Vercel), our customer-relationship and account management platform (Salesforce), our email and communications provider (SendGrid), the map provider used on our filling-station map (OpenStreetMap Foundation), and our filling-station technology provider (GIR). These providers are permitted to use the information only to provide services to us. We do not currently accept card payments through the Services; when we introduce them, they will be processed by our third-party payment processor, Stripe.
  • Business or partner entities within the Network where necessary to provision and administer your account, consistent with this Policy.
  • Legal and safety disclosures when required to comply with applicable law, respond to lawful requests, or protect the rights, property, or safety of Eco Solutions, our users, or others.
  • Business transfers — in connection with a merger, financing, acquisition, or sale of assets, in which case we will require the recipient to honour this Policy.

7. Storage, Retention, Transfers, and Safeguards

We retain personal information only as long as necessary to fulfil the purposes described in this Policy and to meet legal, accounting, and reporting requirements. In practice:

  • Account and profile information is kept for the life of your account. When an account is closed we archive it rather than erasing it immediately, so that transaction history and audit records remain intact.
  • Transaction and usage records are kept as a continuing record of activity on the Network.
  • Contact-form submissions are kept until you ask us to remove them.
  • Newsletter subscriptions are kept after you unsubscribe, so that we have a record not to contact you again.
  • System and security logs are kept for approximately 14 to 30 days, database backups for approximately 7 days, and infrastructure audit trails for approximately one year.

You can ask us to delete personal information we hold about you at any time. We will do so unless we are required to keep it for legal, accounting, audit, or compliance reasons — see Section 8.

Our cloud infrastructure is located in the United States, which means your personal information is stored and processed there. Some of our other service providers may also store or process information outside of Canada. Where information is handled in another jurisdiction, it may be accessible to courts, law enforcement, and authorities of that jurisdiction. We take steps to ensure our providers apply comparable protection.

We use reasonable physical, technical, and administrative safeguards to protect personal information against loss, theft, and unauthorized access, disclosure, or use. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

8. Your Choices and Rights

Subject to applicable law, you may:

  • Access and correct the personal information we hold about you by contacting our Privacy Officer;
  • Withdraw marketing consent at any time by using the unsubscribe link in our emails or contacting us;
  • Request deletion of your account information, subject to records we must retain by law;
  • Ask questions or complain about how we handle your information. If we cannot resolve your concern, you may contact the Office of the Privacy Commissioner of Canada.

We will respond to verified requests within the timeframes required by applicable law.

9. Cookies and Similar Technologies

We use a small number of cookies and similar technologies, mainly to keep you signed in to the portal and to remember display preferences. Our public website sets no cookies of its own, and our website analytics is cookieless. Details of the specific cookies we use, and how to manage them, are described in our separate Cookie Policy.

10. Children’s Privacy

The Services are intended for businesses and their authorized personnel, and are not directed to children. We do not knowingly collect personal information from anyone under the age of majority. If you believe a minor has provided us personal information, please contact us so we can remove it.

11. Changes to This Policy

We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, where changes are material, provide additional notice through the Services. Your continued use of the Services after an update means you accept the revised Policy.
